Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Who we share your data with
If you request a password reset, your IP address will be included in the reset email.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where your data is sent
Visitor comments may be checked through an automated spam detection service.
Google User Data
This section applies to Sharp Tack Receptionist, our AI phone receptionist product, and to any Google Calendar a client connects to it. The product also maintains a dedicated privacy policy covering caller data, transcripts, and retention in further detail; the Google-data commitments below are identical in both documents.
What we access
When you connect your Google Calendar, Sharp Tack Receptionist requests exactly two permissions:
- See the free/busy status of your calendars. We receive only the time intervals in which you are busy. We do not receive the titles, descriptions, guests, locations, or any other detail of your events. This is a property of the permission itself, not a promise about our behaviour — we are not granted the ability to read event content.
- View and edit events on your calendars. We use this to create appointments booked by callers, and to update or cancel those appointments if a caller telephones back to change them.
You choose which of your calendars Sharp Tack Receptionist may access when you connect your account.
How we use it
We use your free/busy information for exactly one purpose: to work out which appointment times are genuinely available, so the assistant can offer them to a caller during a telephone call. We use event access for exactly one purpose: to create, update and cancel the appointments that callers book through the assistant.
We do not use your Google data for advertising. We do not use it to train or improve AI or machine-learning models — ours or anyone else's. We do not sell it.
How we store it
- Free/busy information is held only in memory, for the duration of an active call. It is not written to disk or to our database.
- The identifier of each appointment we create is stored, so that we can update or cancel that appointment later.
- The authorisation token that lets us access your calendar is stored with access restricted to the service itself, and is deleted when you disconnect your calendar or revoke access.
We do not store copies of your existing calendar events. We have no mechanism to do so.
How we share it
We do not sell your Google user data, and we do not share it with our other clients — each client's data is isolated from every other client's.
To place a telephone call, the assistant relies on a small number of specialist service providers. The only Google-derived information any of them receives is an appointment time being offered to a caller — for example, "Tuesday the twenty-ninth at ten in the morning." They never receive the titles, descriptions, guests, or locations of your events, because we never have access to those.

None of these providers uses your Google data to train or improve their artificial-intelligence models. Where a provider's standard terms would otherwise permit training, we have opted out, and we treat that opt-out as a permanent condition of using them.
The only other exceptions are where the law requires disclosure, or where you have explicitly asked us to share it.
Limited Use
Sharp Tack Media's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Removing our access
You can disconnect your Google Calendar at any time from your account settings. You can also revoke our access directly at myaccount.google.com/permissions.
When access is removed we delete the stored authorisation token. Appointments already on your calendar remain on your calendar — they are yours.
